Virtual Executive Assistant, CEO & VP's

Equivity is looking for a part-time executive assistant who has worked directly with C-level executives in a fast-paced corporate environment and excels at communicating and coordinating with CEOs. The selected candidate will be an expert at managing the calendar and email inbox for extremely busy CEOs and VP’s, as well as processing expense reports utilizing MS Excel and Concur or Expensify. This candidate will be extremely efficient, and will be the epitome of “calm under pressure”, flexing as needed to adapt to the changing schedule and priorities of a busy executive. This role involves communication with CEO’s and VP’s at well-known companies and participation in regular phone and video conferences with both the internal team and organization members. You will be expected to handle a variety of tasks, take ownership of your role as the right-hand to the organization’s CEO or VP of various work groups, and be professional in all of your communication with key stakeholders. Work with this client will begin immediately and is expected to be 20-25 hours per week ongoing.

Experience interacting with C-level executives and managing complex calendars is required. Knowledge of project management tools, expense reporting, managing Excel spreadsheets, and a desire to take initiative and be a self-starter will also be necessary. The ideal candidate will demonstrate excellent written and verbal communication skills, and will work well both as the member of a team and independently.

Equivity matches clients with virtual assistants that provide administrative, marketing, and paralegal support. Our virtual assistants work with a high degree of autonomy and are responsible for developing relationships with our clients. Because we provide extremely attentive service to our clients, you must be available to respond to client communications during business hours within one hour by email, phone, and text and be available to work on projects during the business day. All of this work is done remotely, meaning that you can work from home.

The selected candidate would be hired as a part-time employee of Equivity (W-2 position), not an independent contractor. We are looking for somebody who has at least 20 hours per week of availability, and the starting pay is $18 per hour. Equivity offers opportunities to earn pay increases shortly after hire. Virtual assistants can earn pay rate increases after three full months of employment if they meet a minimum number of billable hours and achieve client satisfaction goals. Position requirements:

  • Bachelor’s degree
  • 3+ years of experience as an Executive Assistant to a CEO or VP of a large company
  • Experience communicating with C-level executives in organizations with at least 200 employees
  • Knowledge of both Microsoft Office and the Google suite of programs
  • Experience adapting to the changing needs/priorities of a CEO or VP and availability throughout the day to respond to urgent requests and frequent calendar changes
  • Availability to work and make and respond to calls within an hour in a professional setting between 9 AM and 6 PM Monday through Friday (Pacific, Central or Eastern Time)
  • Excellent written and oral communication skills
  • Your own laptop and smart phone with broadband access to Internet
