This position serves as the Associate Director for Business operations in the Office of Associate Vice Chancellor, Campus Operations. Manages, reviews, and analyzes campus wide spending tends for goods/services that are/should be provided by multiple auxiliaries, and service center units. Manages auxiliary revenues/expenditures and contract tracking software ensuring reporting units upload/provide associated data. Identifies missed revenue opportunities, assists departments with robust reporting to correct revenue oversights, and makes/implements recommendations. Seeks innovative solutions for problem solving on both daily tasks, as well as various special projects. Has appropriate latitude in determining goals/objectives in support of reporting units achieving success.

Associate Director Duties

  • Manages Revenue Vision (third party software) solution that tracks all auxiliary revenues, expenditures, and contracts.
  • Analyze current performance to plan; identify and research variances and trends, and bring to the attention of department heads for discussion and recommended solutions.
  • Analyzes external vendor expenditures and identifies opportunities for auxiliary and service center units to support goods/services internally.
  • Develops financial analysis and development for Auxiliary Services Units to maximize revenues and assists in developing operational metrics for auxiliary business lines. Performs analysis to gauge operating performance and efficiency with reporting and effective recommendations for improvements.
  • Manage and evaluate all aspects of administering, monitoring and reporting current and long-term financial plans which reflect campus operations' strategic goals and mission.
  • Utilizing latest technology, develops in conjunction with unit leadership, Key Performance Indicators to be readily available in near real time to provide a better understanding of day-to-day performance.
  • Coordinate with reporting units to ensure annual operating and salary budgets are submitted for review and accuracy.
  • Serve as internal resource for contracts and procurement initiatives

Reporting

  • Ensures reporting departments upload/provide financial and contract data files timely to third party revenue software solution.
  • Provides direction and counsel to AVC, Campus Operations, and reporting personnel based on the granular level of data to assist them in understanding financial reports and data, in controlling their costs and budgets and in fulfilling budgetary requirements.
  • Prepare and submit financial reports as required and review for accuracy prior to distribution; troubleshoots problems, including research of pertinent facts and interact with appropriate university staff to achieve resolution. Create standard periodic reports providing monthly, quarterly and annual information for decision making.
  • Reconciles and reviews monthly financial ledgers for office.
  • As needed, provides support to Manager for Campus Space in reviewing data sets, space utilization info., and provides reports/spreadsheets from space management software.

Required Qualifications

  • Bachelor’s Degree in business, accounting or related field.
  • Demonstrated ability to go beyond the "what” and tell the “why” within research results
  • Excellent presentation and writing skills
  • Excellent time-management, project management, interpersonal, and communication skills
  • Excellent organization skills and ability to work on multiple projects simultaneously
  • Ability to act professionally and represent the office in interactions with stakeholders, including university administrators
  • Ability to work accurately with strong attention to detail
