What you'll do
We are seeking a highly skilled and strategic Professional Services Chief of Staff to lead the optimization of our services across our organization. The successful candidate will be responsible for formulating and implementing operational policies, driving process improvement initiatives, collaborating with regional managers on workforce planning, and overseeing Chief of Staff responsibilities. This role involves managing the PSA tool, creating structure around tracking billable utilization, and ensuring accurate financial reporting.
Key Responsibilities:
- Resource Allocation:
- Ensure global resources are assigned to projects based on skills, availability, and project requirements.
- Collaborate with project managers to track resource utilization.
- Communication and Collaboration:
- Lead regional weekly meetings with key business partners to communicate resource availability and identify areas of over- and under-utilization.
- Collaborate with program managers to ensure alignment between project goals and resource allocation.
- Partner with regional managers on workforce planning to address resource needs.
- Proactive Analysis:
- Utilize a data-driven approach to conduct proactive analysis of resource utilization, forecasting, and future capacity needs.
- Provide insights and recommendations based on analysis to optimize resource allocation.
- Monitor data to ensure accurate financial reporting related to resource utilization.
- Operational Policies and Procedures:
- Formulate and implement rules of engagement, operational policies and procedures for the global professional services organization.
- Drive adherence to policies to ensure consistency and efficiency in resource management.
- Billable Utilization:
- Create structure around tracking billable utilization and implement strategies to optimize billable hours.
- Collaborate with project and program managers to enhance billable utilization efficiency.
- PSA Tool Management:
- Manage and optimize the Professional Services Automation (PSA) tool.
- Drive continuous improvement and efficiency in the use of the PSA tool for resource management.
- Process Improvement Initiatives:
- Drive process improvement initiatives to streamline resource management processes.
- Identify opportunities for automation and optimization to enhance overall efficiency.
- Chief of Staff Responsibilities:
- Act as a key liaison between the Professional Services leadership and other departments.
- Assist in strategic planning, decision-making, and execution of key initiatives.
- Provide support in communication, coordination, and implementation of organizational strategies.
- Undertake special projects as directed by senior leadership.
Qualifications:
- Proven experience in building a captive professional services organization in a B2B Saas company.
- Strong analytical skills with the ability to use data to drive decision-making.
- Experience with project management and scheduling tools.
- Familiarity with Professional Services Automation (PSA) tools is a plus.
- Experience in formulating and implementing operational policies and procedures.
- Track record of successful process improvement initiatives.
- Previous experience in a Chief of Staff or similar strategic support role is desirable.

Compensation
Compensation may be adjusted depending on work location.
- For Colorado-based hires: Estimated annual salary of $159,000 - $195,000.
- For New York City, Washington, and California (excluding Bay Area) based hires: Estimated annual salary of $176,000 - $215,000.
- For Bay Area-based hires: Estimated annual salary of $184,000 - $224,000.
