Clinical Operations Coordinator

Our Clinical Operations Coordinator is the supportive force behind both, and we are currently seeking someone exceptional to take the helm. The ideal person for the job will be a problem solver with excellent communication skills and impeccable attention to detail. They will have previous experience working in a clinical environment, performing administrative tasks, and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.

Responsibilities:

  • Create and maintain database of all Clinical Operations documents, identifying when updates are required and making changes as needed.
  • Maintain all departmental policies and procedures; including annual review and
  • Collaborate with Marketing to create and maintain database of Clinical Operations collateral.
  • Create and maintain PowerPoint presentations as department needs are identified, obtaining necessary approvals.
  • Work closely with Operations Coordinators to process JIRA tickets submitted to the Provider Onboarding queue.
  • Perform a variety of general administrative tasks in support of the day-to-day
  • Efficient and seamless data management of clinical operations new hires
  • Engagement, and other departments as needed.
  • Draft and edit documents, email correspondence, reports and presentations, as
  • Various follow-up on behalf of management as requested.
  • Determine the priority of matters for attention of the Operations Director; redirect matters to staff members to handle or handle matters personally, as appropriate.
  • Prioritize conflicting needs; manage expectations; handle matters expeditiously,
  • Ensure that all work is completed with the highest level of professionalism and
  • Create and manage meeting agendas, lead meetings, and publish notes and follow up on action items.
  • Respond to external and internal queries timely and coordinate additional
  • Manage Ad-hoc projects as needed.

Requirements

  • Bachelor's degree and/or 2 years of relevant experience
  • At least 1 year of experience facilitating, or managing, projects and supporting cross functional collaboration.
  • Must be proficient in MS Office Suite (Excel, Word, PowerPoint, Outlook, etc.)
  • Maintain a high degree of confidentiality
  • Demonstrates attention to detail, Excellent written and verbal communication skills.
  • Ability to prioritize, stay organized and multi-task successfully in a fast-paced
  • Proactive, self-starter who anticipates the needs of the department and initiates tasks with little, to no, instruction
  • Flexibility; ability to succeed in a fast-paced, dynamic environment
