Commercial Operations Associate
Description
As a Commercial Operations Associate, you will monitor and maintain the company's commercial policies and manage the day-to-day commercial operations with Omilia's partners and customers, as well as with internal company stakeholders. The role is also responsible for maintaining the repository of customer contracts and orders and ensuring billing of customers is aligned with their contract/order terms and with Company's commercial policies and goals.
Responsibilities
Commercial Policies/Contracts:
- Maintain commercial policies documentation, price lists, and SKUs master file, and update as required with Partners & Resellers;
- Communicate commercial policies to internal and external stakeholders;
- Engage with key internal stakeholders in the commercial processes (Sales, Marketing, Customer Success) to ensure alignment and provide guidance;
- Ensure consistency of contract terms with commercial policies and goals and assist with contract review;
- Assist Presales & Sales teams with providing up-to-date supporting documentation;
- Ensure Omilia Terms & Conditions, as well as linked policies (data, privacy terms, SLAs,...), are properly maintained and updated on the company's website.
Partnerships:
- Assess, clarify, and validate partner commercial requirements on an ongoing basis;
- Engage with Partners to ensure proper application and/or update of commercial policies and pricing;
- Assist with the onboarding process for new partnerships;
- Support partnership development towards short- and long-term goals.
Billing Operations:
- Own, monitor, and improve the billing of Omilia’s customers and partners, ensuring alignment of business requirements, platform/product development, and customers&partners' processes;
- Ensure proper setup of customers' billing when projects go live;
- Work closely with the Billing Platform team to ensure proper operation and assess new requirements;
- Monitor accuracy of billing and lead troubleshooting/corrections when necessary, through the creation and maintenance of appropriate reporting tools & dashboards;
- Be the primary point of contact with Partners and manage billing reconciliation on a monthly basis.
Cross-departmental Cooperation:
- Collaborate closely with the Finance team to ensure smooth and accurate invoicing/revenue tracking in line with customers' and partners' billing;
- Liaise regularly with external stakeholders (sales, marketing, operations) to proactively identify gaps, resolve issues, and escalate where appropriate.
Contribute actively and effectively as an integrated team member:
- Meet regularly with the line manager to review progress;
- Manage issue resolution and critically escalate;
- Work effectively with other teams, units, and departments;
- Manage issues with clarity and ensure effective information flow and team working;
- Support other organization’s priority activities, when necessary;
- Act as an Omilia ambassador.
Requirements
- Degree in Business Administration, Economics, Technology, or a similar field. A Master’s degree will be considered a plus;
- 3+ years of working experience in a Commercial team or relevant role, ideally in a technology field;
- Proven experience with handling and analyzing data, with proficient command of Microsoft Excel, and ideally other CRM / business intelligence and data analysis tools (Salesforce, Tableau, Microsoft BI,...);
- Strong commercial acumen and business understanding, especially of commercial agreement terms;
- Excellent analytical skills with great attention to detail;
- Ability to work independently with a high degree of accountability, and strong work ethic;
- Team player with cross-functional collaboration with exceptional interpersonal skills;
- Ability to build consensus and relationships among stakeholders.
Nice to have:
- Solid knowledge of CRM software, ideally Salesforce;
- Experience working within the B2B Enterprise SaaS;
- Exposure to North American companies/markets and work culture;
- Technologically savvy with an understanding of APIs, integrations, and SaaS.
