Overview

The Director of Legal Operations manages the legal operations functions of the Legal and Compliance Department. The Director collaborates with other teams within the Department, as well as inter-departmentally, particularly with go-to-market and sales operations, IT and corporate systems, and finance teams. This position supervises the legal operations staff and reports to the Associate General Counsel of Corporate Law and Legal Operations. The successful candidate will be an effective leader and influencer, be able to build and maintain strong relationships, and be a proficient project manager.

Responsibilities

The principal responsibilities of the Director of Legal Operations are:

Administration

  • Serving as point of contact for Department’s and Company’s Legal Operation’s needs.
  • Managing and supervising the Legal Operations staff including providing oversight of the annual goal setting process and performing annual reviews.
  • Implementing best practices for document sharing within the Department and managing access to technology resources, including supporting the onboarding of new hires.
  • Creating documentation of Departmental workflows, processes, and standard operating procedures.

Contracting Process and Data Management

  • Managing the contract data function including post-execution contract reviews, technology processes, and creating and providing reports to internal customers.
  • Leading a variety of contract related projects involving contract storage, contract data maintenance, and contract workflow enhancement.
  • Assisting with contract interpretation as needed for contract data management and reporting.

Technology and Knowledge Management

  • Designing technology strategy that furthers the strategic goals of the Department.
  • Recommending optimal prioritization of technology investment based on legal service delivery goals.
  • Overseeing technology system selection, design, and implementation.
  • Overseeing technology usage, creation, storage, and sharing of information (e.g., legal research, transactional documents, historical information).
  • Collaborating with IT, corporate systems, and other departments to implement new technologies and updates.
  • Creating protocols to manage data quality.
  • Implementing and maintaining a knowledge management system for the Department.

Analytics and Reporting

  • Proposing meaningful and creative Department KPIs demonstrating the value of the Department.
  • Designing and implementing KPI and reporting processes.
  • Providing metric data analytics to identify impact on and value to organization, as well as assess progress on key initiatives and process improvement.
  • Identifying and developing cutting-edge strategies for increasing value and reducing outside legal spend while maintaining excellent legal representation and optimizing engagement practices with our law firms and other legal vendors.

Vendor Management

  • Managing and overseeing outside vendor rates, billing, compliance, as well as matter-level budgeting.
  • Establishing appropriate financial terms and pricing mechanisms for firm engagement letters.
  • Coordinating engagement letters and overseeing firm billing.
  • Proposing and implementing discounts and alternative fee arrangements with law firms.

Other

  • Performing special projects and responsibilities as assigned.
  • Supporting Department staff with various complex issues.
  • Performing all responsibilities in conformance with current relevant policies and procedures and in alignment with Department leadership.
  • Hire, develop, coach, lead and retain top-tier talent, with a focus on building and improving a team and culture that is able to assist in employing best in class practices to support and drive high levels of internal and external customer satisfaction.
  • Completing all responsibilities as outlined in the annual performance review and/or goal setting.
  • Completing all special projects and other duties as assigned.

Qualifications

  • Bachelors required; JD strongly preferred.
  • Ten plus years of work and management experience with significant experience in legal operations required.
  • Broad range of direct, hands-on management experience.
  • Deep understanding of the legal industry and the challenges facing in-house legal departments.
  • Strong project management skills, including the ability to interpret and execute against a variety of instructions provided in written or oral form.
  • Proficiency in utilizing web-based applications. Exceptional ability to learn and adapt to new technologies, as well as troubleshoot and provide first-level tech support to colleagues. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint, and Outlook) required. Familiarity with Smartsheets, Legal Tracker or other similar tools highly desirable.

MENTAL REQUIREMENTS

  • Self-starter with the ability to take on tasks and projects with minimal supervision, and ability to navigate among multiple priorities.
  • Able to identify and implement best practices and trends in legal operations.
  • Able to lead and motivate diverse teams including legal, compliance, and cross-functional professionals, vendors, and stakeholders.
  • Able to communicate effectively with department leadership and company senior executives.
  • Strong interpersonal skills with ability to build strong, diverse relationships, including deploying a customer service attitude, coaching and developing employees.
  • Comfortable reading and interpreting Master Service Agreements, Statements of Work, and other similar contractual agreements highly desired.
  • Strong project management skills, including the ability to interpret and execute against a variety of instructions provided in written or oral form.
  • Ability to maintain strict confidentiality.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

  • Remaining in a stationary position, often standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Must be able to provide a dedicated, secure work area.
  • Must be able to provide high-speed internet access / connectivity and office setup and maintenance.

Base compensation ranges from $130,000 to $150,000. Specific offers are determined by various factors, such as experience, education, skills, certifications, and other business needs.
