Executive Assistant, Office of the CEO

Reporting to the Chief of Staff to the CEO, the Executive Assistant to the Office of the CEO is primarily responsible for the organization and prioritization of the Office of the CEO and will serve as a liaison between internal and external customers, executive management, and key stakeholders. The successful candidate understands the complexities of a CEO’s office and will support the Office of the CEO in a holistic manner, helping coordinate and prioritize according to business needs. This position requires an experienced, intellectually curious, and strategically thoughtful approach with meticulous attention to detail and follow-through.
This is a Remote opportunity within Canada and the US.
What we're looking for:
- 7+ years of recent, full-time administrative/executive support, reporting to one or more executives
- Bachelor’s degree or equivalent work experience
- Must be extremely adaptable to the ever-changing needs of a fast growing technology company
- Must be highly organized, efficient, and demonstrate innate attention to detail
- Experience working with executives in a fast-paced environment preferably in technology, media, internet or related companies
- Highly proficient in a variety of applications including Zoom, Slack, and Notion. Particularly so in Google Apps, including Google Calendar and Google Docs
- Flexible - in terms of responsibilities and responsiveness with a positive “can-do” spirit and adaptable to 1Password culture
- Proven ability to drive projects forward while simultaneously multitasking in an environment with shifting priorities
- Quick learner - have a “knack” for tech – able to figure out new systems and adapt on the go
- Independent - able to work under little direction and exercise sound judgment when making time sensitive decisions
- Reliable teammate - able to thrive in a team setting, willingness to help others, while also being able to work well independently
- Self-starter - knows when to trust instincts and when to ask for help
- Problem solver - proactively and efficiently identifies creative solutions
- Trustworthy - must have impeccable discretion with access to sensitive company, customer, and personal information
- Exceptional communication and interpersonal skills – poised, professional, and articulate, as you will be representing the personal “brand” of your executives to many external partners across a wide variety of industries
Bonus points for:
- Previous startup experience, preferably in a rapid, high growth environment
- Previous experience using 1Password
- Strong event planning experience
- You are part of an external Executive Assistant community, that you can leverage for bringing forward new ideas and practices to our Executive Assistant Team
What you can expect:
- Through clear and concise communication, ensure the CEO and Executive Team are aligned and focusing on the right priorities
- Establish a strong balance of approachability and professionalism within The Office of the CEO, for both internal and external stakeholders.
- Collaborate with with current Executive Assistant Team, and empower them to establish standards for high performance within the team itself and their departments
- Calendar, email, travel arrangements and time management
- Align with the CEO and the CEO’s Chief of Staff on their priorities and preferences and ensure time is managed efficiently so as to focus on the right priorities at the right time.
- Ensure the CEO and CoS are in lockstep with each executive team member. Understand executive team priorities and synthesize those priorities along with calendars and the broader corporate calendar.
- Organize the CEO’s and CoS calendar to develop a structure that allows the CEO and his direct reports to be as effective as possible.
- Review proposed internal and external meetings and events with the CEO and his CoS before scheduling. Proactively anticipate needs and work autonomously to get ahead of the agendas. Align on priorities for scheduling external engagements, PR, customer deals, executive meetings and conferences.
- Assemble appropriate materials to prepare the CEO for meetings; distribute materials, briefings for customer meetings, investor meetings and more. Ensure agenda items are documented, log action items, follow-up on outstanding items, etc.
- Coordinate with the CFO/CLO and the CFO’/CLO’s Executive Assistant on the annual board meeting schedule, and work closely with the CFO’s EA to assist and ensure meeting logistics and plans have been arranged (discounted hotel rooms reserved, meeting room arrangements, A/V ready, board materials are prepared in advance, etc.).
- Receive and handle inquiries, correspondence, and requests directed to the CEO; determine the urgency of response and escalate issues as appropriate. Serve as liaison with the executive team; assist with internal and external communications.
- Organize and maintain high volume email inboxes to ensure the CEO and CoS are reading and responding to high priority e-mails.
- Arrange complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Organizational Awareness and Relationship Development
- Develop strong and professional rapport with customers, prospects, Board members, their assistants, and all employees and represent the Office of the CEO with the highest level of professionalism and efficiency.

- Leadership
- Plan and oversee key events and meetings. Spearhead a cohesive and collaborative EA Community
- Create and cultivate a positive and empowered, unified team of EAs
- With the goal of helping each EA learn and grow at 1Password, foster communication, spearhead monthly or quarterly brown bag lunch meetings to share news, best practices, etc.
United States-based roles only: The Annual salary for this role is between $87,000 USD and $117,000 USD, plus immediate participation in 1Password’s benefits program (health, dental, 401k and many others), utilization of our generous paid time off and, where applicable, participation in our incentive programs. All employees are owners of 1Password and receive an equity grant as part of their total package. At 1Password, we approach each individual's compensation with a promise of fair market value and internal equity commensurate with experience and specific skill set.
