Junior Business Operations Manager

Promaton is a six year old startup based out of Amsterdam. Co-founded by two friends, a dentist and an AI specialist. Promaton is on a mission to provide fast, more accessible and higher quality dental healthcare to patients all across the globe. Your role / What you’ll do
In a startup like Promaton there are always a hundred things to do and to improve, to ensure the business runs smoothly. That is the core of your role as Operations Manager: you keep the day-to-day operations running, support other teams (people operations, quality management, product teams, general business) and are constantly looking for ways to improve our processes. No day will be the same, but the main ingredients will always include administrative tasks, project management and process improvements.
What success looks like
After 3-6 months:
- You know the ins and outs of our different business processes (goal setting and planning, people operations, quality management, …) and you have built a strong relationship with the colleagues you are working most closely with (COO, quality manager, operational assistant)
- Thanks to your strong organizational skills our day-to-day operations run seamlessly: our goal setting & planning cycles run smoothly, new hires have a smooth onboarding, our processes are in great shape and well documented, our internal and external communication (website, social media, etc.) is up-to-date, etc.
- You have identified several pain points in our processes and have started to implement improvements (new / improved processes, tools, methodologies, etc.) to improve our way of working
- The team happiness and engagement has increased thanks to your efforts to improve our people processes, organize fun team events and strengthen our culture
After 9-12 months
- You start choosing 1 or more paths to specialize further in, for example, operations, goal setting & planning, maintaining/increasing team cohesion, remote companies, finance, etc.
This role will be remote, although you are welcome to work in our office in Amsterdam if that suits you.
What your week will look like
32-40 hours per week, split between running operations and improving company processes:
- 25% running operations (coordinating quarterly OKR process, assisting quality manager with operational tasks, monitoring and quality control on onboarding & offboarding processes, and assisting team with employer branding, organizing events, coordinating All hands team meetings and Show & Tell sessions, etc.)
- 75% improving processes (identifying pain points in various company processes, coming up with improvement ideas, getting team feedback on proposed improvement, as well as implementation of improvements)
Job requirements
- 1-2 years of work experience in a startup environment, ideally with some expertise and/or clear affinity in either of the following three domains: operations, process improvement, team cohesion
- Ability to drive improvements in a pragmatic and practical way (having a good understanding of what moves the needle), though with high quality standards
- Ability to digest a lot of information & complexity fast, coupled with a willingness to learn (we are a very innovation-minded team)
- Structured & concise way of working and communicating
- An independent and proactive self-starter attitude
- Team player and collaborative mindset
- Excellent written and verbal communication skills in English
- Based in a time zone between UTC-1 and UTC+3 (-2 to +2 hours Amsterdam time)
- Ability to fly in for company events 4 times a year (1 week per quarter)
Bonus points
- Project management experience / skills
- Any prior experience in other startups or SMEs that can help us improve things (e.g. in operations, strategy, product, finance or other parts of the business)
