Zipdev is in search of a highly skilled and experienced Operations Support Specialist to strengthen our Operations team. This role is crucial in providing close and comprehensive support to our Operations Manager and engaging across departments to optimize our operational processes. We're looking for a candidate who is detail-oriented, technically adept, and driven to make a significant impact through operational optimization, process improvement and data management and visualization.

Responsibilities:

  • Provide comprehensive and robust support to the Operations Manager in daily operational tasks across all departments, including maintaining organized project workspaces
  • Assist in creating and disseminating clear communication guidelines and policies for the internal team.
  • Enhance data analysis functionalities in new and existing operations spreadsheets to support better decision-making.
  • Implement and audit administrative procedures to maintain high accuracy and minimize errors, ensuring continuous improvement in identifying and correcting inefficiencies or inaccuracies.
  • Research new automation tools to improve day-to-day activities of the team.
  • Coordinate and schedule internal meetings related to operations and project management.
  • Provide updates to stakeholders on project performance.
  • Ensure dashboards accurately track important metrics from different departments
  • Ensure punctual completion and submission of metrics and goals by all departments and individuals for interdepartmental leadership meetings.
  • Analyze data collected through performance metrics to identify trends, strengths, and areas for improvement.
  • Prepare reports on performance metrics to be shared with management and other stakeholders.
  • Train Internal Team Members on new operational tools.
  • Provide support and guidance to all departments during tools/applications migrations and or implementation.
  • Keep a detailed inventory of all tools used by Zipdev, including status, seats, cost, and key users.

Requirements

  • Minimum of 3 years in operations coordination, process improvement, project management or similar roles.
  • Minimum of 2 years of experience in creating advanced spreadsheets and creating scorecards, along with data analysis skills.
  • Proven experience creating and implementing process and task automation tools.
  • A paramount focus on attention to detail.
  • Exceptional written and verbal English communication abilities.
  • Demonstrated success in enhancing and streamlining processes.
  • Experience working with the EOS framework is a significant plus.
  • Experience working at a staffing or tech company is desirable.

Work Remote Monday - Friday, 40 hours a week (no weekends)
