Your Role

We are seeking a highly organized and proactive Portfolio Onboarding Coordinator to support our company with the seamless onboarding of new Co-Founders and facilitate the Onboarding process for each portfolio company. The Portfolio Onboarding Coordinator will be responsible for managing project tasks, organizing information, coordinating meetings, welcoming Co-Founders, and serving as the main point of contact for incoming Co-Founders during the Onboarding process. This role requires exceptional communication skills, attention to detail, and the ability to build strong relationships with internal and external stakeholders.

Responsibilities:

  1. Utilize project management tools, such as Asana, to oversee and manage the validation and onboarding phase for each portfolio company. Coordinate tasks, timelines, and resources to ensure a smooth onboarding process.
  2. Organize and maintain information related to Co-Founders and their products. Create and manage documentation, product details, and relevant data required for the onboarding process.
  3. Handle the logistics of meeting setup, including scheduling and coordinating meetings involving all relevant parties. Ensure that necessary stakeholders are present and that meetings are efficiently organized.
  4. Host the onboarding meeting as the first touchpoint with new Co-Founders. Provide an overview of the onboarding journey, explain the process, and set clear expectations for the validation and onboarding phases.
  5. Liaise with Co-Founders and internal teams to facilitate the flow of information and deliverables throughout the validation and onboarding phases. Ensure effective communication and timely coordination of tasks.
  6. Act as the main point of contact for all incoming Co-Founders during the validation and onboarding phases. Provide continuous support, address questions, concerns, and issues, and offer guidance throughout the process.
  7. Organize all information and host the handoff meeting once a prototype is effectively validated, accepted, funded, and enters into a Pod where a Project Manager takes over. Ensure a seamless transition of the project to the designated team.
  8. Walk each new co-founder through the validation and onboarding process, serving as their dedicated customer support person. Be readily available to address any queries and concerns promptly and professionally.
  9. Generate status reports on the progress of each portfolio company during the validation and onboarding phases. Present these reports in progress meetings with internal stakeholders to provide updates on the onboarding process.

Qualifications:

  1. Bachelor's degree in business, finance, project management, or a related field.
  2. Proven experience in project coordination, customer support, or a similar role is a plus.
  3. Proficiency in project management tools, such as Asana or similar platforms.
  4. Exceptional organizational and time management skills to manage multiple tasks and deadlines effectively.
  5. Excellent communication and interpersonal abilities to build positive relationships with Co-Founders and internal teams.
  6. Attention to detail and a strong focus on delivering high-quality work.
  7. Ability to work independently, take initiative, and solve problems proactively.
  8. Experience in startup environments or familiarity with portfolio company onboarding is a plus.
  9. Proficiency in using productivity tools and software (e.g., Microsoft Office, Google Workspace).
  10. A collaborative and team-oriented approach, with the ability to work effectively in cross-functional teams.

This is a full-time, remote position. The Portfolio Onboarding Coordinator will report to the Director of Project Management and work closely with Project Managers, Start-up Co-Founders, the Product Development Team and Go-To-Market Team.
