Proposal Content Manager

Job Summary:

The Proposal Content Manager (PCM) is responsible for ownership and management of required documentation submitted with responses to Requests for Proposals (RFP), Requests for Applications (RFA), Requests for Information (RFI), grants, and other proposals. In addition, the PCM is responsible for developing and maintaining the Proposal Development Team’s SharePoint environment, including all opportunity sites, supporting lists, and libraries.

Essential Functions:

  • Reviews proposal opportunities and generates a requirements matrix Excel workbook, capturing all the necessary sections, executive sponsors, SMEs, supporting SMEs and writers
  • Develops and maintains an attachments/appendices tracking spreadsheet as a separate worksheet within the overall requirements matrix workbook
  • Takes ownership of all attachments/appendices from beginning of opportunity through submission
  • Works cross functionally with SMEs and writers to collect required supplemental documentation, appendices, and forms
  • Conducts compliance reviews of materials
  • Establishes attachments/appendices deadlines based on the opportunity calendar, communicates deadlines to all team members and anticipates missed deadlines with appropriate and timely escalation to leadership
  • Works cross functionally with technical specialists throughout the proposal development process
  • Supports PM for RAID development, maintenance and distribution of weekly follow up action items to owners
  • Takes ownership for closing out action items in a timely manner or escalating to PM as needed
  • Functions as a utility player to support Proposal Team
  • Manages Proposal Team’s SharePoint site including updates, access requests, data input, libraries, lists, training, and maintenance
  • Manages, schedules, and conducts Webex and SharePoint trainings to team and vendors
  • Supports proposal compliance efforts
  • Assists with cross-functional communications and training
  • Perform any other job duties as requested

Education and Experience:

  • Bachelor’s degree required
  • A minimum of five to seven (5-7) years of proposal management experience is required
  • Experience working in deadline driven environments is required
  • Experience with project management

Licensure and Certification:

  • Current APMP Foundation Certification or willingness to obtain within 6 months of hire

Working Conditions:

  • General office environment; may be required to sit or stand for extended periods of time
  • Ability to work beyond regular schedule hours
  • Ability to travel overnight when required, up to 25% per year
