Position Overview

A Proposal Project Manager is responsible for creating and administering compelling and comprehensive proposals in response to Requests for Proposals (RFPs), ensuring alignment with the organization's goals and objectives. This role involves administrative project management of the RFP process, collaborating with cross-functional teams to gather required information, managing our content library, and crafting clear, informative narratives that effectively communicate the value proposition of the company to potential clients or partners.

What you will be doing:

  • Sourcing relevant RFPs for bid consideration & facilitating an internal bid/no bid process
  • Producing and delivering compliant, professionally produced proposals within customer defined timeframes
  • Coordinating administrative tasks for each bid, such as supplier registration, documentation management, and form signatures
  • Coordinating and managing additional proposal input and review from relevant stakeholders
  • Managing, tracking and communicating bid deadlines and updates
  • Day-to-day active bid writing, bid formatting, and proposal pipeline management
  • Coordinating/actively handling printing and mail delivery requirements where physical copy submission is required (US-specific)

Tasks will also include :

  • Updating and managing bid support library that is a searchable reference source that can be used to support future bids and trialing bid-management tooling
  • Packaging and shipping bid documents when physical submission is required
  • Liaising with key staff (either in the US or UK) to identify & assess high-priority customers, opportunities and markets
  • Maintaining up to date knowledge on our services, customers, and market opportunities
  • Close collaboration with Product on RFP fit analyses and proposal outcomes to inform product market fit

Must have:

  • Excellent written and verbal communication skills for a range of audiences and digital platforms and with regard to the sensitivity of communication
  • Detail-oriented with strong project management skills
  • Conduct thorough reviews and edits to ensure proposals are error-free, consistent, and align with brand messaging.
  • Good time management skills and the ability to prioritize competing demands
  • Able to manage multiple projects simultaneously and good attention to detail
  • Excellent IT knowledge with the ability to use Google systems & MS office products
  • Excellent self-presentation and a confident communicator with the ability to present effectively
  • Ability to think creatively to solve problems, with a clear commitment for identifying opportunities and delivering improvements
  • Results driven and able to work to deadlines in a fast-paced environment
  • Able to develop and maintain positive working relationships, working cross functionally and involving others

Good to have:

  • Management, strategy and creative thinking experience
  • Experience in a start-up or scale-up environment
  • Experience working as a writer; technical, creative or proposals
  • Experience of working in or with sales or marketing functions
