🎯 Summary
The Partnerships Operations role provides high-quality and fast support to the partnerships and operations team.
- You’ll be responsible for creating the contracts and agreements for our new and existing clients and ensuring they are signed and executed quickly. You should be able to negotiate terms, knowing the nooks and crooks of our contracts and how we deliver outstanding digital products.
- You’ll be accountable, and owner of the invoicing and billing of our current engagements; this also means having a lot of communication with procurement and admin teams on our client's side. You will also be putting a process in place to ensure everything is up to date regarding cashflow.
- Partnerships Operations also works in tandem with our Ops. Director to ensure we have a precise and up-to-date funnel forecast, so we value cross-team visibility and can manage lots of information at once.
- We are obsessed with documentation, organization, speed and quality of every task we do, from a simple email to how we communicate and position ourselves in front of worldwide enterprises and cutting-edge startups and their founders.
Job requirements

The ideal candidate has:
- At least 2+ years of experience in an administrative, procurement, sales or account executive role. It would be a plus if it was in a tech, software, or design company.
- An Advanced English level to be able to communicate effectively with clients, auditors, agencies, and other Aerolab stakeholders.
- Knowledge to read, understand and draft contracts (MSA and SOWs) and taxing and invoicing for day-to-day tasks.
- Intermediate or Advanced proficiency in Spreadsheets.
- Strong organizational skills to efficiently manage multiple documents, a calendar of emails to send, and meticulousness in assembling information.
It's a plus to have:
- Knowledge of signature platforms like RightSignature or DocuSign.
- Knowledge of CRMs (Hubspot, Salesforce, etc.) and Notion.
- Knowledge of Ariba (SAP) or any Procurement platform and familiarity with the AFIP Portal.
🗝 Main activities
Client Relations & Registration
- Register new clients. Establish company information, walk through our standard contracts and how invoicing will work.
- Contact and establish support with finance, procurement, or legal teams of our clients to request and send documentation.
- Updating and moving a deal through the steps up to the handoff and KO from the Operations team.
- Follow-up on payments and interests. Ownership of the Days Sales Outstanding (DSO) KPI
- Support Project Managers and Ops. with the management and status updates of each account.
Finance & Legal
- Generate and send invoices and follow up on their payments.
- Manage procurement portals with our clients (Ariba, e-buyplace, etc.) to upload documentation and update information as needed.
- Manage and oversee contracts: Draft SOWs and MSAs and monitor their subsequent signing and validity. Knowledge of our terms & conditions and being able to explain them to founders or stakeholders.
- Keep internal administrative documents (billing, project calendar, etc.) updated, backed up and organized.
- Ownership and support to our Legal team on Compliance and Legal standards for our accounts and contracts.
- Follow up on project collections and maintain the billing schedule in line with project changes.
- Support the Head of New Business and Executives on invoicing and contractual matters, as well as Directors and our Founders.
Operations, Data, and Reporting
- Manage our Project Forecast spreadsheet and be accountable for precise and up-to-date Sales & Operations Planning.
- Create and update weekly, monthly and quarterly reporting in our CRM.
- Monitor operational resources along with the Finance Analyst and Ops. Director.
- Follow up and communicate with the Operations team (Director, PMs) for the administrative organization of projects.
- Assist Operations in Quality Management and its annual certification (ISO Standards).
- Coordinate with Aerolab's Project Managers at the start and end of each project, providing them with the necessary information for initiation.
