Travel and Recruiting Coordinator

The Travel and Recruiting Coordinator is responsible for managing the logistics of Belongers’ travel and supporting the recruitment process. This role involves coordinating travel arrangements, assisting with the recruitment cycle, and ensuring a smooth and efficient experience for both travelers and candidates. The ideal candidate will be detail-oriented, highly organized, and capable of managing multiple tasks simultaneously.

Key Responsibilities:

- Travel Coordination: Plan and coordinate travel itineraries, including flights, accommodations, transportation, and other travel-related services for employees and candidates. Ensure all travel arrangements comply with company policies and budget constraints. Assist employees and candidates with travel-related issues and emergencies as they arise.

- Vendor Management: Maintain relationships with travel agencies, airlines, hotels, and other travel service providers. Negotiate contracts and rates to secure the best deals for corporate travel. Monitor vendor performance and address any issues promptly.

- Recruitment Support: Coordinate with hiring managers to understand recruitment needs and timelines. Post job openings on various job boards and the company website. Screen resumes and applications to identify qualified candidates. Schedule and coordinate interviews, including travel arrangements for out-of-town candidates. Assist with the onboarding process for new hires, ensuring a smooth transition.

- Expense and Data Management: Track and report travel expenses, ensuring accurate and timely processing. Maintain and update travel and recruitment databases, ensuring data accuracy and confidentiality. Prepare regular reports on travel and recruitment activities and expenditures.

- Policy and Compliance: Ensure adherence to company travel and recruitment policies and procedures. Assist in developing and updating travel and recruitment policies as needed. Provide training and guidance to employees on travel and recruitment processes.

- Technology Utilization: Use travel management software and online booking tools to streamline travel processes. Utilize applicant tracking systems (ATS) and other recruitment tools to manage candidate information. Analyze travel and recruitment data to identify trends and improve processes.

- Candidate Experience: Ensure a positive experience for candidates throughout the recruitment process. Communicate with candidates regularly to provide updates and answer questions. Arrange for candidate accommodations and travel reimbursements as needed.

Preferred Qualifications

- Bachelor’s degree in Human Resources, Business Administration, Hospitality Management, or a related field.

- Minimum of 3 years of experience in travel coordination and/or recruitment support.

- Fluent in both Spanish and English.

- Strong organizational and multitasking abilities.

- Excellent communication and interpersonal skills.

- Proficiency in travel management software, ATS, and other recruitment tools.

- Attention to detail and a high level of accuracy. Ability to work under pressure and handle multiple priorities.

- Understanding of corporate travel policies, recruitment processes, and vendor management.

- Professional in Human Resources (PHR) or similar certification is a plus.
